How to Use ChatGPT to Understand a Teacher Email

 

Teacher Emails Can Feel Like a Lot

Sometimes a school email arrives and it is three paragraphs long, mentions four dates, includes a request, refers to an assignment you have never heard of, and somehow assumes you already know what everything means.

If you are a grandparent raising grandchildren, that can be especially frustrating.

School systems have changed.

Technology has changed.

The language teachers use has changed.

And sometimes you simply need somebody to say:

“Here is what this email actually means.”

ChatGPT can help with that.

Step 1: Remove Private Information

Before you paste a school email into ChatGPT, remove unnecessary identifying details such as:

• your grandchild’s full name
• student ID numbers
• home address
• phone numbers
• school account information
• private medical or educational records

You can replace a name with something simple like:

[MY GRANDCHILD]

The goal is to give ChatGPT enough information to help without sharing more personal information than necessary.

Step 2: Paste the Email Into ChatGPT

Try this prompt:

I am a grandparent raising a school-age grandchild. I am going to paste an email from their teacher. Explain it to me in simple language. Tell me:

1. What the teacher is saying
2. What I need to do
3. Any dates or deadlines
4. Anything my grandchild needs to do
5. Any questions I should ask the teacher

Keep the answer short and organized.

Here is the email:
[PASTE EMAIL]

This turns one long email into a simple list.

Step 3: Ask ChatGPT to Make a Checklist

After ChatGPT explains the message, say:

Turn this into a short checklist in the order I should handle things.

Now instead of staring at the email, you may see something like:

☐ Sign permission form
☐ Help child finish reading assignment
☐ Send form back by Thursday
☐ Reply to teacher about conference time

That is much easier to work with.

Step 4: Ask About Anything You Don’t Understand

If the teacher uses a term you do not know, ask.

For example:

The teacher mentioned a “504 plan.” Explain what that generally means in simple language and tell me what questions I should ask the school.

Or:

What does “standards-based grading” mean?

Or:

Explain this classroom instruction in words a grandparent who has not been in school for many years would understand.

AI can help you understand unfamiliar language.

For official school policies or decisions, always confirm important information directly with the school.

Step 5: Ask ChatGPT to Draft a Reply

Sometimes you know what you want to say but cannot quite find the words.

Try:

Help me write a warm, respectful reply to this teacher. Thank them for the information, confirm that I understand what needs to be done, and ask this question: [QUESTION]. Keep it friendly and concise.

You can then say:

“Make that warmer.”

“Make it shorter.”

“Make it sound less formal.”

“Make sure it does not sound defensive.”

You are still in control of the message.

ChatGPT is just helping you find the words.

Step 6: Double-Check Before Sending

This part matters.

Before sending any AI-written school message, check:

• names
• dates
• facts
• your tone
• whether ChatGPT added anything you did not say
• whether the message accurately represents what you want

AI can make mistakes.

Never send something simply because ChatGPT wrote it.

You are the final editor.

What If the Email Makes You Upset?

Sometimes school communication can make us feel defensive, embarrassed, worried, or frustrated.

If that happens, do not send the first response that comes into your head.

Try:

I received this school email and I am feeling upset about it. Help me separate the facts from my emotional reaction. Then help me write a calm response that addresses the issue without sounding angry or defensive.

That does not mean ignoring your feelings.

It simply gives you a little space between feeling something and pressing Send.

Sometimes that tiny space is very useful.

• homework instructions

Try:

Read this school announcement and give me only the things I need to know, the dates I need to remember, and anything I need to prepare.
